INDEPENDENT 3PL INVOICE CONTROL

3PL invoice control. Before approval.

Qyvrai is an independent 3PL invoice control service for ecommerce brands. It compares signed terms, actual fulfillment activity and the invoice to determine what the evidence supports before approval.

What is 3PL invoice control?

3PL invoice control is the process of checking billed fulfillment charges against the commercial terms that govern them and the operational activity that generated them before approval.

The result is an evidence-based determination of the supported amount, together with any amounts that need evidence, conflict with terms, do not reconcile or were not tested.

What does Qyvrai compare?

Agreement × Activity × Invoice → Supported amount

The agreement establishes the basis.

The signed agreement, current rate card and applicable amendments establish the rates, units, tiers, minimums and other terms relevant to the tested charges.

The activity establishes what happened.

Fulfillment records establish the relevant orders, units, receiving events, returns, storage occupancy or other operational quantities for the invoiced period.

The invoice establishes what was charged.

The complete invoice and any detailed line export state the quantities, rates and amounts submitted for approval. Agreement, activity and invoice must be reconciled together: none is a substitute for the other two.

What can an invoice and rate card establish?

They can establish whether a listed rate or fee is supported by the supplied terms and whether the invoice's own arithmetic reconciles. This is part of rate card reconciliation.

They do not independently establish that the billed operational quantities occurred. A correct unit rate multiplied by an unverified quantity is not a fully supported charge.

When is operational evidence required?

When a charge depends on activity, the relevant records are needed to establish its quantity and basis. A per-order packing charge requires the relevant order count. A storage charge may require occupancy records for the billed period. A carrier pass-through may require the underlying carrier invoice.

If the supplied activity ends before the invoice period, Qyvrai identifies the gap. It does not assume the missing days match the available days.

What are the five possible findings?

Supported

The charge matches the agreed basis and the recorded activity.

Needs evidence

The charge may be correct, but the available evidence does not establish it.

Conflicts with terms

The amount lacks support in, or conflicts with, the current signed agreement.

Calculation mismatch

The basis is valid, but quantity, tier, rate application or arithmetic does not reconcile.

Not tested

Outside the tested scope or impossible to determine from the supplied material. No conclusion is drawn.

A state belongs to an amount. A single invoice line can contain both a supported portion and a calculation mismatch. See the sample 3PL Invoice Control Sheet for an explicit split.

How does this differ from recovery-based auditing?

Recovery-based auditing is directed toward identifying amounts to recover. Qyvrai's First Invoice Check is a pre-payment control: it determines what the supplied evidence supports before approval.

Qyvrai is not paid by your 3PL and takes no percentage of anything it finds. If the invoice is fully supported, that is the finding. A correct invoice is a valid result.

What do you receive?

A Qyvrai Invoice Control Sheet for the agreed scope. It records the tested amounts, their basis, the evidence references, the five-state reconciliation and any qualifications that limit the conclusion.

Operations, finance and the 3PL can use the same document to see which amounts reconcile and what evidence or correction is still needed.

Read the Qyvrai method

Who is this intended for?

Ecommerce brands using a third-party fulfillment provider, and the operations or finance people responsible for reviewing that provider's invoice before approving payment.

The First Invoice Check does not require a 3PL login, software installation or integration.

What does Qyvrai not claim?

Qyvrai does not promise savings, assume every invoice contains an error or treat missing evidence as proof of an overcharge. The finding is limited to the agreed scope and the documents supplied.

The check does not approve or execute payment on your behalf. The Invoice Control Sheet informs your approval decision. Where the evidence does not establish a conclusion, the sheet says so.

How do you start?

Request a First Invoice Check. Qyvrai confirms the scope and provides the three-file instructions: current agreement or rate card, relevant fulfillment activity and the complete 3PL invoice.

The First Invoice Check is $250 USD, fixed fee. The target is within 3 business days after complete files are received. Redacted files are accepted where removed information is not needed for verification.
