Three sources, one agreed scope

The check uses your current signed agreement and rate card, relevant activity for the invoiced period, and the complete invoice. Include amendments that affect the charges being tested.

No 3PL login, software installation or integration is required for the first check.

Redact what the check does not need

Redacted documents are accepted where the removed information is not needed for verification. Personal names, customer contact details and delivery addresses may be unnecessary for testing a charge; remove them when they are not part of its basis.

Preserve the applicable terms, charge descriptions, dates, units, rates, quantities and stable references needed to reconcile the evidence. If redaction removes the basis of a charge, that can prevent a conclusion.

Do not provide passwords, API keys or system credentials.

Establish the file arrangement first

The request form collects contact details and context for the check; it does not accept invoice files. When available, the server-side request service passes those details to Qyvrai using Resend. Do not include sensitive financial or customer information in the note. Establish the tested scope and document submission arrangement before sharing operational records.

Confirm any specific confidentiality, retention or deletion requirements for your engagement before sending documents.

Preserve the limits of the evidence

A missing activity period is recorded as a gap. An unprovided carrier invoice is not treated as verified. A charge that has not been tested receives no conclusion.

Every conclusion points to its contractual or operational basis. Where the evidence does not reach, Qyvrai does not conclude.

Identify responsibility

For a real check, the control sheet should identify the person responsible for the work, the material examined and the determination date. Sample material on this website is marked as sample data and identifies no real engagement.
